Send proper invoices from your phone, free
VatMainder turns a sale into a PDF invoice with a number, due date, reference and VAT by rate, plus a Finnish bank transfer form with the virtual barcode.
Most couriers and drivers are paid by a platform, but sooner or later a client needs an invoice. VatMainder makes one from any sale you’ve recorded, ready to send as a PDF. Invoices are part of the free app.
From sale to invoice
Open a sale and choose Bill a client. VatMainder adds an invoice number, a due date and the client’s details. Numbers run per year (2026-001, 2026-002, …), so they’re never repeated. The due date comes from your payment terms, 14 days unless you change it.
Save the people and companies you bill as clients (name, business ID, address, email and phone), and pick them on every invoice after that.
What’s on the PDF
- your name or business name, business ID and VAT number;
- the invoice date, the delivery date or period, the due date and payment terms;
- the client’s details and their reference, if they gave you one;
- each line with the amount before VAT, the VAT rate and the total;
- the VAT for each rate, and the total due;
- the notes the law asks for on a reverse-charge or 0% sale, in Finnish and English on a Finnish invoice;
- a reference number for the payment.
The reference follows each country’s format: the Finnish viitenumero, the Estonian equivalent, the Swedish OCR number, or an international RF reference. Your IBAN and BIC are checked before they go on the invoice.
Easy to pay
On a Finnish invoice, the bottom of the page is a bank transfer form with the virtual barcode, so your client can pay by copying a single code into their bank. A German invoice gets a GiroCode QR to scan with a banking app. Swedish invoices carry your Bankgiro and OCR number, UK ones your sort code and account number.
Send, print, get paid
Send shares the PDF by email, WhatsApp or any app; Print sends it to a printer. If the money hasn’t arrived by the due date, VatMainder reminds you the next morning. Mark the invoice paid when it does. If you need to take something back, make a credit note.
One bank account free, more with Pro
One bank account on your invoices is free. With Pro you can add more and pick which one each invoice is paid into.
Every invoice is also a sale in your VAT figures, so the return and the income tax estimate stay up to date without typing anything twice.
VatMainder isn’t an official tax authority app, and this isn’t tax advice. Rules change: check the details for your own situation with your tax authority or an accountant.
